Proposal Approval Workflow (Pre-Award)

Pre-Award Project Proposal Approval Procedure

In accordance with institutional policy, all project proposals must undergo an internal approval process before submission to any international funding agency. Proposals must be reviewed and authorized by the Rector, the Head of Administration, the Dean of the relevant School, and the Development Office.

This procedure ensures effective cooperation with external organizations and funding agencies, while protecting the university from potential obligations during project implementation, such as co-financing requirements or the allocation of unforeseen expenses or funds from the university budget.

As part of the internal approval process, applicants are required to clearly specify the intended use of space, personnel, equipment, and/or financial resources. Before submitting a proposal to a funding agency, applicants must complete a formal request using the designated template and internal application form, securing approval from the relevant School Dean and university leadership.

Once approval has been granted, the Development Office will provide guidance and support with the necessary technical procedures to ensure the successful submission of the project proposal.

STEP 1 – Process Initiation

Submit internal application form with project details via e doc or info@iliauni.edu.ge

STEP 2 – Initial Review

Internal Review by the Dean of relevant school, Head of Administration, Rector and Development Office

STEP 3 – Notification to the Applicant

Applicant receives formal approval or request for additional documents/information

STEP 4 – Facilitation in Proposal Development

After approval is granted technical facilitation by Development Office to finalize the project idea for submission
